Operations and Automation Analyst
Description
We’re hiring an Operations and Automation Analyst to work alongside our existing ops team and expand our capacity to handle the full range of operational functions that keep our payments platform running smoothly and safely.
This role is a direct counterpart to our current Operations team members. Together, you’ll own the day-to-day execution of payment operations, risk management, and loss recovery with the goal of building a tight, redundant team that can scale with the business.
The right person for this role isn’t just precise and reliable, they’re genuinely excited about automation and AI, and they see their long-term value as managing intelligent systems and handling the escalations those systems can’t resolve.
Responsibilities
- UNDERWRITING & RISK:
- Review and decision merchant applications, including financial analysis and risk assessment
- Manage on-hold payments: investigate, communicate, and resolve with merchants daily
- Execute transaction monitoring and flag unusual patterns for escalation
- Perform Proof of Authorization reviews on disputed transactions
- LOSS MANAGEMENT & COLLECTIONS:
- Work ACH dispute and chargeback recovery processes end-to-end, from detection through resolution or escalation
- Execute NSF and funding failure recovery procedures, including time-sensitive same-day outreach
- Manage formal demand and collections escalation workflows for unresolved losses
- Maintain accurate case logs and track open items across all active recovery cases
- COMPLIANCE & PARTNER RELATIONS:
- Respond to banking partner inquiries accurately and on time
- Maintain documentation and audit trails that meet partner compliance standards
- Support chargeback representment and dispute response processes
- AUTOMATION & PROCESS IMPROVEMENT:
- Actively identify manual tasks that can be automated and partner with the team to build those workflows
- Adopt AI tools for drafting, research, and workflow management
- Document processes clearly so they can be handed to automation or trained to a new team member
Skills & Qualifications
- Resourceful self-starter who uses online tools, research, and AI to solve problems independently
- Some background in payments, fintech, banking, or financial services
- Some experience with ACH, chargebacks, disputes, or payment risk
- High attention to detail and ability to follow multi-step procedures accurately, especially when time is a factor
- Clear, professional written communication — you'll be writing merchant-facing messages, demand letters, and banking partner responses
- Sound judgment in ambiguous situations — you can make a reasonable call when something doesn't fit neatly into the playbook, and you know when to escalate
- Comfortable working within defined SOPs and task management tools like Jira, Asana, or similar
- Genuinely curious about AI and automation — you actively use or experiment with AI tools like Claude Code or Codex and are eager to become an expert in them and to grow with them as they develop. You see them as ways to do better work, not as a threat.
